Setting up a Setup Fee

The "Setup Fee" feature in Agency Handy allows agencies to charge an initial fee for subscription-based services. This one-time or recurring fee is applied during the initial purchase process, adding flexibility and additional revenue streams for services that require initial setup or onboarding.

Customization: Control how and when setup fees are applied to your subscription services.

1.1 Navigate to the Service Configuration
Log in: Access your Agency Handy account.
Go to Services Tab: From the dashboard, navigate to the Services tab.
Create or Edit Service:
Click on Create New Service or Edit an existing subscription-based service to apply the setup fee.
1.2 Subscription Settings
Subscription-Based Service: In the service setup form, ensure the service is marked as a Subscription-Based Service.
2. Adding a Setup Fee
Locate Setup Fee Section: Find the Setup Fee section within the package details secton.
2.1 Enable Setup Fee
Activate Setup Fee: Toggle the Enable Setup Fee option to apply a setup fee for the selected service.
2.2 Specify Setup Fee Amount
Enter Amount: Input the exact amount for the setup fee. This fee will be applied as a one-time or recurring charge during the initial purchase or based on your configuration.
2.3 Setup Fee Duration
Specify Duration: Define how many billing cycles the setup fee should be charged for (e.g., one cycle or multiple cycles). The duration of the setup fee cannot exceed the overall subscription cycle.
Catalog Visibility: The setup fee will not be displayed in the pricing range visible in the catalog or service purchase section.
Setup Fee Duration: Ensure that the setup fee duration does not exceed the cycle duration of the subscription.
Manual Adjustments: Setup fees need to be manually added during manual order creation for invoices.
Checkout Process: The setup fee will be displayed separately from the subscription fee during checkout. The client will see the total cost with a clear breakdown showing both the setup and subscription fees.
Payment Process: During the purchase process, the setup fee will be charged according to the duration of the configured setup fee.
Invoice Display: The invoice generated will show the setup fee as a separate line item from the recurring subscription fee for clear visibility.
Manual Order Creation: Setup fees will also apply to manual order creation. When creating manual subscription invoices, the setup fee must be added manually by selecting Add Item during the invoice creation process.
Automatic Application: Setup fees will be automatically applied to subscriptions created from a proposal. Like manual orders, the setup fee cannot be edited in the proposal form and will be applied based on the predefined configuration.
Transparency: Always ensure that the setup fee is clearly displayed during checkout to maintain trust and transparency with clients.
