The SMTP Setup feature allows users to configure their own SMTP credentials to route all outgoing emails through their SMTP server. Once enabled, all email communications are sent exclusively through the specified SMTP server, bypassing Agency Handy's internal email service.
Allow users to configure custom SMTP settings for email sending.
Ensure all outgoing emails are routed through the user's SMTP server.
Enhance email deliverability and domain authenticity.
🛠️ Permissions Required: Only Super Admins and Admins can configure SMTP settings.
🌐 Valid SMTP Credentials: Users must have valid SMTP credentials (Host, Port, Username, Password).
Log in to your Agency Handy account.
Navigate to Workspace Config → SMTP Setup.
Click on SMTP Configuration to open the settings panel.
📌 Ensure you have the necessary permissions to access these settings.
SMTP Username: Your SMTP account username.
SMTP Password: Your SMTP account password (stored securely).
SMTP Host: The SMTP server domain (e.g., smtp.mailserver.com).
SMTP Port: Common ports are 587 (TLS), 465 (SSL), 25 (Non-secure).
Auto TLS: If checked, STARTTLS will be used if the server supports it.
💡 Ensure the credentials are accurate to avoid connection issues.
After entering all the fields, click Test Connection.
Agency Handy will send a test email to verify:
Authentication
Connection stability
Port configuration
If successful, a confirmation message will appear.
⚠️ If the test fails, an error message will be displayed with the reason (e.g., incorrect credentials, network issue, blocked port).
Upon successful testing, click Activate SMTP.
All outgoing emails are routed exclusively through your SMTP server.
Agency Handy's internal mail server and custom senders are bypassed entirely.
📌 If SMTP is disabled or fails, no fallback to Agency Handy's servers will occur.
If SMTP fails during active sending:
All outgoing emails are halted.
A notification is sent to the admin with error details.
You must fix the SMTP configuration to resume sending.
⚠️ There is no automatic fallback to internal servers for security and consistency.
All passwords are encrypted for security.
SMTP communication is secured via SSL/TLS.
No credential data is stored in plain text or logged.
💡 Ensure your SMTP provider supports secure transmission protocols.
If SMTP is configured but not sending emails, verify the Host, Port, and Credentials.
Ensure Auto TLS is checked if your server requires STARTTLS.
If test emails fail, check firewall settings or port restrictions.
Password reset for the SMTP account may require reconfiguration in Agency Handy.
