File Feedback

The File Feedback feature in AgencyHandy allows users to provide targeted feedback on images, PDFs, videos and on live websites directly inside task sections (specifically within orders), with advanced version control and comment navigation. The legacy file annotation system is now view-only.

What:

This feature enables users to upload, comment on, and manage feedback for specific files and websites while maintaining a version history for effective collaboration and task management.

Purpose:

  • Ensure clear and actionable feedback on file attachments.

  • Enable precise feedback for specific sections or timestamps.

  • Allow structured website feedback using in-app live previews.

  • Ensure all feedback is linked to a specific screen and version.

  • Streamline reviews with powerful sort, filter, and search options.

  • Improve collaboration across teams and clients using contextual annotations

Pre-conditions:

  • Users must have access to tasks or orders with file attachments.

  • Users must have the appropriate roles (Super Admin, Admin, PM, or Client) to provide, manage, or resolve comments.

  • Files must be uploaded as attachments to tasks or orders.

  • Website feedback must be initiated from a task with a valid URL.


Steps to Use:

  1. Log In to Your AgencyHandy Account:

    • Access your account using your credentials.

  2. Provide Feedback:

  • For Uploaded Images and PDFs:

    • Open the task and click the attachment + button to add files

    • Open the file and use tools (Arrow, Line, Square) to highlight specific sections.

    • Add comments by selecting the desired area and typing your feedback.

    • You can undo or redo an action using the undo and redo buttons.

    • You can also change the arrow's colour by clicking the colour button.

  • For Videos:

    • Open the task and click the attachment + button to add files.

    • Upload the video file.

    • Pause the video and add time-stamped comments.

    • Optionally, hide timestamps for general feedback.

    • The video will pause automatically when typing feedback.

  • For Live Websites:

    Access a Task and Add Website URL

    • Open the desired task.

    • Go to the Attachment section and click the + button.

    • Select Add link.

    • Give a title and paste a valid website URL. Click Add.

    • Click anywhere on the link. To preview the website, you will be asked to add a browser extension from Agency Handy. Add the browser extension to your web browser.

    • The site will load in a live preview pane in view mode.

    Choose Viewing Mode

    • Browse Mode:

      • Fully interactive website rendering.

      • View as Desktop, Tablet, or Mobile layout.

    • Comment Mode:

      • You can capture a screenshot in Review mode.

      • Annotate using draw, highlight, text, or square.

      • Add a comment linked to the screenshot.

    Provide Feedback

    • Click on any section of the screenshot to comment.

    • Accidentally clicked the wrong one? Easily reselect another area before submitting.

    • Use right-click to create square annotations more intuitively.

    Things you can do in the latest file feedback section:

  1. Annotate with Comment:

    • Click the annotation buttons and choose your annotated spot with the tools.

    • A comment box will be visible in the right-hand corner.

    • Click it and write a comment.

    • Choose whether to share it with the team or the client only. Save it.

  2. 3-Dot button Action:

    • Click the "Edit" button to edit more in the file.

    • Click the "Copy" button to copy the reply.

    • Click the "Delete" button to delete the comment.

    • Click the "Team Only" button to access the file by team only.

  3. Resolve Comments:

    • Click the Tick button to mark comments as "Resolved."

    • Resolved comments remain visible with a "Resolved" tag and can be reopened if necessary.

  4. See Annotation:

    • Click the comments to see the Annotation.

  5. See Current Status of Feedback

    • In the PDF, image, and video, you can check the current status without needing to open the file.

    • It shows in the bottom part of the file.

  6. Count Comments:

    • In the PDF, image, and video, you can count comments without needing to open the file.

    • It shows in the bottom part of the file.

  7. Download File:

    • Download an uploaded file again easily with the download button.

  8. Manage File Versions:

    • Upload a revised file version by clicking "Upload New Version."

    • Retain all previous versions and their feedback.

    • Use the version dropdown to navigate and view feedback for specific versions.

  9. Review File Versions:

    • Review a file through the "Need Review" or "Approved button".

    • Click the Update button to confirm your action.

  10. Search, Sort & Filter Comment

    • Sort By: Newest to Oldest, Alphabetical Reviewer Name, or Comment Status.

    • Filter By: Reviewer, Time Range, Resolved/Unresolved status.

    • Search: Use the search bar to find exact phrases or keywords in comments. Click the "Search" button in the top right corner. Write the entire/partial comment you want to search for in the search box, and the comment will be highlighted.


Important Notes:

  • File feedback and annotations are no longer supported in the File section.

  • The client can see and provide annotations with feedback only if the client review is enabled.

  • The file viewer and Feedback can be accessed from the same places where the task viewer is added.

  • No one can provide any annotation without commenting. So, you must comment if you annotate something.

  • Approve or Request Changes:

    • For Files:

      • Super Admins, Admins, PMs, and clients can mark files as "Needs Review" or "Approved."

      • Notifications will be sent when these actions are taken.

  • Commenting Rules:

    • Comments are version-specific.

    • Users with access to the file can be mentioned in comments.

    • Clients can only be mentioned if "Client Review" is enabled.

    • Comments can be edited or deleted by the commenter, Super Admin, or Admin.

  • Resolve Comments:

    • Super Admin, Admin, PM, and clients can mark comments as "Resolved."

    • Resolved comments remain visible with a "Resolved" tag and can be reopened if necessary.

  • File Versioning:

    • Newer versions will notify users about updates.

    • When viewing older versions, a prompt will indicate the existence of newer versions.

    • Deleting a version will not affect other versions.

  • Delete File Versions:

    • Super Admin, Admin, and PM can delete file versions.

    • Deleting a version removes all associated comments for that version.

    • Deleting a client will delete all versions of the files and annotations.

  • Feedback Visibility and Management:

    • Feedback is displayed in the order task file feedback panel.

    • Super Admin, Admin, PM, and clients can resolve comments.

    • Notifications will be sent for resolved feedback with the text:

      • “Your feedback on the file feedback section of task [Task_Name] has been resolved.”

  • Notifications for File Feedback:

    • Feedback added: “Feedback has been added in the file feedback section of [Task Name].”

    • New file version: “A new file version is uploaded on task [Task_Name].”

    • Approval/Review: "Changes requested / approved in task [Task_Name]."

    • Status change:

      • "Changes requested for a file in task [Task_Name]."

      • "Changes in file have been approved."

    • Mention in comments:

      • "[User Name] mentioned you in a comment in the file feedback section of task [Task_Name]."

    • Feedback Resolved: "Your feedback on the file feedback section of task [Task_Name] has been resolved."

  • Super Admins, Admins, PMs, and Clients can resolve comments.

  • File Feedback via annotation is now task-exclusive; the file section is for view/download only.

  • Annotation requires adding a comment — no "blank" annotation allowed.

  • Feedback is tied to versions — editing one version does not update others.

  • Page numbers are now visible for PDFs and documents during annotation.

  • Feedback is supported only for task and order attachments, not for modules like service or profile images.

  • Deleting a task or order will delete all related files and file versions.
